1. Agreement & scope
By accessing bellavistaweddings.co.za and related online services operated by Bella Vista Weddings ("we", "us", "the venue"), you agree to these Terms & Conditions ("Terms"). If you do not agree, do not use the website.
These Terms govern digital use and certain general commercial expectations commonly applied at wedding and event venues. They do not replace a signed quotation, celebration agreement, function sheet, or accommodation agreement. Where any written contract between you and us conflicts with this page, the written contract prevails.
Our handling of personal information is described in the Privacy & Cookies notice, which forms part of your overall understanding of how we operate online.
2. Website content & intellectual property
Text, photography, video, design, trade names, logos, and software on this site are owned by us or licensed to us. You may browse and share links for personal, non-commercial purposes. You may not copy, scrape, redistribute, or commercially exploit our content without prior written consent.
Information on the site (including packages, menus, capacity figures, pricing indicators, blog posts, FAQ answers, and accommodation descriptions) is provided for general information and may change without notice. Seasonal offers, third-party supplier imagery, and historic events may not represent current availability.
3. Cost calculator & online tools
Any budget or cost calculator on the site produces illustrative estimates only. Final pricing depends on your date, guest count, inclusions, supplier choices, and written quotation.
4. Enquiries, leads & communications
Submitting an enquiry form, email, telephone message, or chat request does not guarantee availability or a booking. A contract is formed only when terms are agreed in writing (as practised by the venue) and any required deposit or confirmation steps are met.
You warrant that information you supply is truthful and that you have authority to correspond on behalf of the party you represent.
We may refuse or cease dealing with communications that are abusive, fraudulent, spam, or that compromise the security or dignity of our staff and guests.
5. AI assistant ("Isabella")
Optional chat features use automated systems to answer general questions. Outputs may be incomplete, outdated, or incorrect. The assistant does not provide legal, financial, or regulatory advice. Always confirm material facts (dates, pricing, inclusions, accessibility, licensing) with our team in writing.
6. Third-party services & links

7. Bookings, deposits & payment (venue-standard)
The following reflects typical venue practice and must be aligned with your executed agreements. Percentages, cut-off dates, and refund rules are for your legal team to fix.
- Provisional holds are often diary-dependent and may lapse if documentation or deposit deadlines are not met.
- Confirmation normally requires a signed proposal or function agreement and any required non-refundable deposit.
- Balances are usually due by an agreed date before the event; failure to pay may affect access or services.
- Taxes & statutory charges apply as stated in your quotation (for example VAT where applicable).
- Currency is South African Rand unless clearly stated otherwise in writing.
8. Cancellations, postponements & changes
Cancellation, postponement, forfeiture of deposits, and rebooking fees vary by season, notice period, and negotiated package. The definitive position is the schedule attached to your signed agreement or quotation — not this webpage.
We may need to adjust layouts, timings, or outdoor elements for safety, weather, or regulatory reasons. Where reasonably practicable we will consult you in advance.
9. Guest numbers, capacity & compliance
- Final guest counts, seating plans, and floor layouts must respect fire, health, and licensing limits advised by the venue.
- You are responsible for accurate dietary, allergen, and accessibility information supplied to us and to your chosen caterers.
- Alcohol & entertainment licensing remains your responsibility where the law places duties on the event organiser or host, unless our written agreement explicitly assigns those duties to us.
10. Suppliers, décor & property
- External suppliers (caterers, DJs, florists, structures, generators, etc.) may require pre-approval, proof of insurance, and induction to venue rules.
- Décor, signage, rigging, candles, fireworks, drones, and vehicles on lawns or heritage areas may be restricted or subject to written permission.
- You indemnify us against loss or damage to the property, gardens, fixtures, and hire inventory caused by you, your guests, or your suppliers, except to the extent caused by our gross negligence (subject to legal limits).
- Removal of supplier equipment and waste must occur within time windows we specify; surcharges may apply for late breakdowns.
11. Conduct, safety & noise
- Guests must follow reasonable instructions from venue management and security regarding safety, noise, curfews, and neighbour relations.
- Illegal substances, unsafe behaviour, harassment, or violence may result in immediate removal and termination of the function without refund, where consistent with law and your agreement.
- Children must be supervised. Parking and personal belongings remain at your own risk unless mandatory liability rules say otherwise.
12. Insurance & force majeure
We recommend event liability or wedding insurance appropriate to your scale of celebration. Neither party is liable for failure to perform caused by events beyond reasonable control (for example natural disaster, civil unrest, pandemic restrictions mandated by authorities) save as agreed in your contract.
13. On-site accommodation
Room descriptions, rates, and policies published on the website are subject to availability and may be superseded by a separate accommodation agreement, house rules, check-in windows, and payment terms. Guest conduct, damage, smoking, and pet rules should be confirmed in writing for your booking.
14. Public events & promotions
Ticketed occasions, competitions, or expos we promote online may carry additional rules (capacity, age limits, photography releases). Any live booking or RSVP mechanism will be communicated clearly at the time we offer it.
15. Disclaimers & limitation of liability
The site is provided on an "as is" and "as available" basis to the maximum extent permitted under South African law. We exclude liability for indirect or consequential loss, loss of profits, loss of data, or reputational harm arising from use of the site, except where law prohibits such exclusion.
Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or other categories that cannot lawfully be capped.
16. Suspension & acceptable use
We may suspend or restrict access to the website or admin systems where necessary for security, maintenance, or suspected abuse. Unauthorised attempts to access admin areas, APIs, or user data are prohibited and may be reported to authorities.
17. Governing law & disputes
These Terms are governed by the laws of the Republic of South Africa. Subject to mandatory consumer protections, parties may agree exclusive jurisdiction in the courts of South Africa — your attorneys will specify the appropriate forum in your master agreements.

We may update this page from time to time. Material changes will be reflected by revising the "Last updated" date below. Continued use of the website after changes constitutes acceptance of the revised Terms, except where a signed contract with you says otherwise.
